Gradebook

Are you new to the eduTrac SIS online user's manual? If so, click here for a starting point. If you are looking for technical documentation, then check out the Wiki.

Professors can create assignments per course section and grade those assignments as well. Furthermore, each course section has its own gradebook. The instructions below shows you how the gradebook is organized.

When viewing the gradebook for a particular course section, it will list all the students, the assignments and their grades. The heading for each assignment is the short name. Hovering over the short name reveals the full title of the assignment

When viewing assignments for a particular course section, you have the option of performing two options depending on the situation:

  1. View/Edit the assignment
  2. Grade the Assignment – Clicking this icon will take you to a list of students where you will be able to submit a grade for each student for a particular assignment.

You must purchase it from the marketplace. The gradebook module allows you to add assignments and grade assignments. However, you are able to enter final grades without the gradebook module.

You must be a faculty member. If you are logged in as the faculty member who is teaching the course, then you should be able to navigate to Screens > Academics > Course Section > My Course Sections. Under the Actions tab for a particular course, you should see the link Enter Final Grades.

If you don’t see the link, then it can mean one of three things: 1) there are no students in the course, 2) The faculty member doesn’t have the faculty role, or 3) the faculty member has the faculty role, but the faculty role does not have the Submit Final Grades permission added to it.

    I hope this helps.

Thanks. The link is behind the Gradebook Module function, so I will need to take another look at it and see if it needs to be changed.

The other way to submit final grades is by visiting the course section via the SECT screen. On that screen, you should see final grade. Click the cascade icon in order to detail into the next screen. This one will also need to be updated so that only the teaching faculty and the super admin will be able to manipulate the final grade screen via SECT.

These two will be looked at and modified for the next maintenance release.

Navigate to Screens > Academics > Course Section > (SECT) Section, and search for the course section. Click to view the course section, and you should see final grade like in the screenshot.

    Does this help?

    Yes it is ok now…

    One more general question

What is the goal for applications and registrations … (Is it possible to generated from Students?). Who is responsible to create persons and students (staff personell??)

Which is the steps and roles that involves.. In which order…

Right now with admin user i have

    1. create a person… with person type STUDENT and ROLE Student
    2. Create from that person an application (from admin)
    3. Go to Application and enter programe (as admin) and save as ACCEPTED
    4. After that i only see Create Staff Record in Search Person screen and nothing about Create student

Do I have errors in Application and Registration Settings

Do you have any step by step guide as an example…

Thanks again for your quick support

You are actually on the right track and it works with the exception of one step you are missing. Create Student will be under applications and not under Person. Below should be a much better workflow.

    Steps:

    1. First create person record.
    2. Once person record is created, you should be redirected to the new record. You should see Create Application button at the top after the person’s name (makes it easier to go to the next step instead of having to search for it again).
    3. After application has been created, search for applicant via the application screen, under Actions, click Create Student (been meaning to add a create student link to this screen to make it easier step wise: Person > Applicant > Student) without having to search every time after a particular record is created. Hopefully will be fixed in the next release.

Yes, it is possible for a prospective student to submit an online application if you have the myeduTrac Extended module.

You have the freedom to do it however you like. You can leave it up to the super admin, or allow someone from the registrar’s office or someone from admissions. At the university I used to work for, the job of creating person records, applications, and moving applicants to student was the job of the admission’s office.

The super admin account has the power to do anything and is mainly used for system setup. Also, the super admin automatically has the power to log in as another user. So if a faculty, staff or student is having an issue, then you can log in as the user to figure out his/her issue. However, I would suggest not submitting test data in your production system. You should have a test system and a production system. Your test system should be an accurate snapshot of your production system. Hopefully an article on how to do that will be posted soon.

    1. if i have to create a new student what must be Person Type of the New Person (Applicant or Student). I Use Person Role as STUDENT. (edu00.png)

    2. After that create the Application as you told me and choose the program Start Term and Admit Status..

    3. When i save Application – Created a new Status for the application as Pending

    4. Either i leave it Pending or Changed it to Accepted in the search Application List i cannot choose top Create Student but only to see Applications…

    (edu01.png)

    I beleive is something missing

    1. If you know that your end goal when you start is student, then the Person Type, can be STU. The role can be Student. However, if you have an admission process that must occur before an applicant can actually become a student, then the Person Type should be APPL until you move the applicant to student, but the role can still be Student. Or you can create a custom Applicant role so not to be confusing. Reason being is if some time in the future, you need to run a report on applicants that were not accepted or do something else with that kind of data.
    2. Correct.
    3. If there is an admission process then yes, set it as Pending, otherwise set as Accepted.
    4. I think I know what your issue is here, and unfortunately, I haven’t found a way around it yet. Your search must be exact. You have to search for the applicant’s name or ID. Then you should see the Create Student link under the Actions tab.

    wooooaaaaa … That’s Correct…

The first time i have create a student that’s not happened because the search was for only one …

    Now it’s OK..

How often do you create a new version??? Do you have a roadmap … ??

How can i translate it to Greece … ??? I must make a contact with someone dedicated to this process ??

    Thanks again…
